Add a customer

Create a customer with their contact, GST and address details so invoices fill in automatically.

A customer record stores the details that appear on their invoices. Add it once and pick the name whenever you bill them.

Add one customer

  1. Open Customers and choose + New.
  2. If you know their GSTIN, enter it in the box at the top and choose Prefill. Orbitly asks its GST service for the business and fills in the company name, display name, GST treatment, place of supply and billing address. A GSTIN that is not valid shows an error. Where the GST service is not connected, Prefill returns made-up sample details instead of the real business, so always check what comes back, and correct it, before you save.
  3. Choose Business or Individual for Customer Type.
  4. Enter the Primary Contact (salutation, first and last name) and the Company Name if there is one.
  5. Enter a Display Name. This is required and appears on all transactions.
  6. Add their Email Address and Phone numbers.
  7. Open the tabs below for more:
  • Other Details has GST Treatment, GSTIN / UIN, PAN, Place of Supply, Tax Preference, Opening Balance, Payment Terms and Enable Portal.
  • Address has Billing Address and Shipping Address. Tick Copy billing address if they are the same.
  • Contact Persons lists other people at the company. Their emails are offered when you send an invoice.
  1. Choose Save.

Find and manage customers

The Customers list shows each customer's receivables and unused credits. Open one to see their outstanding amount, recent transactions, invoices and payments. From there you can Edit, Mark as Inactive or Delete. A customer with transactions cannot be deleted; mark them inactive instead.

Add many at once

Choose More Actions on the Customers page, then Import Customers. You can upload a CSV file or paste rows from a spreadsheet. Export Customers downloads your list.
