Record an expense
Record money your business spent, choose where it was paid from, and bill it to a customer if needed.
Use an expense for money already spent, such as fuel, rent paid by card or a courier charge. For something you will pay later, use a bill instead.
Record an expense
- Open Expenses and choose + New. The page is titled Record Expense.
- Set the Date. It starts as today.
- Choose the Expense Account that describes what you bought.
- Enter the Amount.
- Under Paid Through, choose the cash, bank or card account the money came from.
- Optionally pick a Vendor and enter the vendor's Invoice#.
- If tax applies, choose Tax Exclusive or Tax Inclusive for the amount, then Select a Tax.
- Add Notes and a Reference#.
- Choose Save, or Save and New to enter another straight away.
Bill it to a customer
Under Customer Name, pick the customer, then tick Bill this expense to the customer. Set Mark up by (%) and a Project if you use them. On the expense, choose Convert to Invoice to bill it.
Repeat expenses
For costs that repeat, use Recurring Expenses in the sidebar. A profile has a Profile Name, Repeat Every, a Start Date and Ends On (or Never Expires) and creates the expenses for you.
Change or remove one
Open the expense and choose Edit. Delete also removes its entries from your books and cannot be undone.
Import
More Actions on the Expenses page has Import Expenses.
Next
Match expenses to your bank statement. See Add a bank account and reconcile it.
