Add, subscribe to and share calendars
Create calendars, subscribe to holidays or a web calendar, import events, and share your own with colleagues.
The calendar panel groups your calendars into My Calendars, Group Calendars, Shared Calendars (shared with you by colleagues), Subscribed Calendars and App Calendars. Each one has a tick box to show or hide it.
Create a calendar
- In the calendar panel, choose the + next to My Calendars (Create calendar) or Group Calendars (Create group calendar).
- Enter a Name, pick a colour, and set a time zone and default reminders if you want.
- For a group calendar, add members with Add a member and give each one a role: Owner, Moderator or Member.
- Choose Save.
Subscribe to a calendar
Choose the + next to Subscribed Calendars. The Add calendars window has four tabs:
- Web URL: paste an https:// or webcal:// address and choose Subscribe.
- Holidays: choose Subscribe next to a region.
- People: add a colleague's calendar that is shared with you, or Request access from someone who has not shared yet.
- Apps & sync: add calendars from other Orbitly apps, or choose Sync with Google Calendar or Microsoft 365… to open the sync page. Whether sync reaches a real Google or Microsoft account depends on how your administrator has set up Orbitly; in a test or demo setup it does not.
Subscribed calendars are read-only and refresh every 12 hours. Choose Update now in a calendar's ... menu to refresh one sooner.
Bring events in or take them out
Open the ... menu next to a calendar:
- Import events reads an .ics file or an iCal URL into that calendar, or into a new one.
- Export (.ics) downloads the calendar's events.
- Empty calendar moves every event to Trash, where it is kept for 30 days.
Share a calendar
Choose Share, publish and embed in the calendar's ... menu. The tabs are:
- Share privately: pick a person or group and a level. The levels are View free/busy, View event details, Edit events and Manage (delegate).
- Organization: let everyone in your organisation see free/busy or full details.
- Public & links: make the calendar public, with free/busy only or with event details. This gives you public iCal and HTML links. It also has private links that anyone holding them can use to see full details. Reset private links stops the old ones working.
- Embed: set up a read-only calendar to paste into a web page. It needs the calendar to be public first.
- Appointment form: see Share a booking page.
Other useful options
- Hide from list removes a calendar from the panel. Show it again from Settings, under calendars.
- Edit calendar and Calendar settings are in the same ... menu.
- Delete calendar removes a calendar and sends its events to Trash. For a subscribed calendar the option is Unsubscribe.
