Invite people and join a meeting

Add participants to an event, find a time that suits everyone, add a meeting link and reply to invitations.

Invite people when you create an event, or add them later by editing it.

Invite people

  1. Open the event form: choose New event, or click an existing event and choose the edit icon.
  2. In Participants, type a name, a group, or an email address and press Enter. Colleagues and groups appear as you type.
  3. Check the list under the box. Each person has a role (Participant or Non-participant) and a permission (for example View event only or Edit event). People outside your organisation are marked External and can only be given viewing permissions.
  4. Before you save, use the box at the bottom left to choose how to tell them: Send email and calendar invite, Send email only, Send calendar invite only or Don't send.
  5. Choose Save.

Invitations are not sent for an event that is already in the past.

Find a time that works

In the event form, open the Manage participants & check availability tab. It shows each person's busy times for the day as red bands, and offers a list of times when everyone is free. Click a time to use it.

Availability is only shown for people in your organisation. For anyone else it says Availability not shared.

Tick Add conferencing (Orbitly Meeting link in the invite) in the form, or Add an Orbitly Meeting link in the quick box that opens when you click the grid. The link goes into the invitation. When you open the event later you can see the link and, if there is one, its passcode.

Join a meeting

  • The Next up card in the calendar panel shows a Join meeting button for your next event with a link.
  • Click any event on the grid and choose Join meeting in its quick view.

Reply to an invitation

Click the event and answer Going? with Yes, Maybe or No. Events you have not answered yet are listed under Yet to respond in the calendar panel. People who get the invitation by email can answer with the Yes, Maybe and No links in the message.

In the quick view, the organiser also sees how many people have said yes, maybe or no, and how many have not replied.

Forward an invite

If the organiser allows it, choose the forward icon in the quick view and enter email addresses. When you create an event, the option is Allow participants to forward.
