Record a payment

Match money you received to one or more invoices so balances stay correct.

When a customer pays you outside Orbitly (cash, bank transfer, UPI, cheque), record the payment and apply it to their invoices. The invoice then shows as Paid or Partially paid.

Record a payment from an invoice

  1. Open the invoice. Record Payment shows on invoices that are sent or partially paid. Drafts, void invoices and invoices that are already paid do not show it.
  2. Choose Record Payment. The customer and invoice are filled in for you.
  3. Check Amount Received and Payment Date.
  4. Choose the Payment Mode and where the money went under Deposit To.
  5. Add a Reference#, such as a cheque or transaction number, if you have one.
  6. In the Unpaid Invoices table, check the Payment column. It shows how much goes to each invoice. Change it to split the money across invoices, or choose Clear Applied Amount to start again.
  7. Choose Save as Paid.

You can also open Payments Received, choose + New, and pick the customer yourself.

Partial payments and extra money

If you apply less than the invoice total, the invoice becomes Partially paid and the rest stays as Balance Due. If the customer paid more than their invoices, the extra stays with them as a credit.

Tax deducted by the customer

If your customer paid you less because they deducted TDS, choose Yes, TDS (Income Tax) under Tax deducted? and enter the TDS Amount. It counts towards the invoices along with the amount received. Your accountant can tell you what applies to you.

Bank charges and thank-you email

Use Bank Charges (if any) for fees taken out of the payment. Leave Email a "thank you" note for this payment ticked if you want the customer to get an email, or untick it. The note goes out when you choose Save as Paid, not Save as Draft.

Save as Draft

Save as Draft keeps the payment without finalising it. Use Save as Paid when it is final.

Check your work

Back on the Invoices list, the Balance Due column and the Paid filter show the result. If you recorded a payment by mistake, open it from Payments Received and edit it.
