Set up a recurring invoice

Bill a customer on a schedule without creating each invoice by hand.

A recurring invoice is a profile. It holds a customer, the lines to bill and a schedule, and Invoice creates each new invoice for you when it falls due.

Create a profile

  1. Open Recurring Invoices and choose + New.
  2. Enter a Profile Name so you can find it later.
  3. Pick the Customer Name.
  4. Under Repeat Every, choose how often: Week, 2 Weeks, Month, 2 Months, 3 Months, 6 Months, Year, 2 Years, or Custom. For Custom, set the number and the unit (days, weeks, months or years) next to it.
  5. Set Start On. Set Ends On, or leave Never Expires ticked.
  6. Add the lines in the Item Table, as you would on a normal invoice. See Create and send an invoice.
  7. Decide whether to tick Create Invoices as Drafts. If you do, each invoice waits for you to review it. If you do not, the invoice is created and emailed.
  8. Choose Save.

Manage a profile

Open a profile from the Recurring Invoices list. You can see its schedule, the next invoice date, and the invoices it has already created under Child Invoices. The buttons at the top are:

  • Pause and Resume to hold the schedule for a while.
  • Create Due Invoices Now to create anything that is due without waiting.
  • Stop to end it for good.
  • Edit and Delete. Invoices already created stay when you delete a profile.

The list has views for Active, Paused, Stopped and Expired profiles.

Auto-charge

At the bottom of the form, Auto-charge explains that Invoice can charge a customer's saved card or UPI mandate when each invoice is raised. This needs a payment gateway and a mandate from the customer. Use Set up Payment Gateway to start. If you have not set one up, leave auto-charge off and customers pay as usual.
