Organise mail with folders and tags
Create folders and tags, move and flag messages, and clear your inbox in bulk.
Create folders
In the left column, under Folders, choose the plus button, enter a name and confirm. Right-click a folder for Rename, New subfolder, Mark all as read, Share folder and Delete folder. Deleting a folder moves its messages to Trash.
Create and use tags
Under Tags, choose the plus button and name the tag. Choose a tag to see every message with it. To tag messages, select them (tick the box beside each) and choose Tag, then tick the tags you want.
Work on many messages at once
Tick the boxes beside messages, or use the box at the top to select all. A toolbar appears showing how many are selected, with:
- Archive
- Delete (to Trash; in Trash or Spam it deletes permanently)
- Spam or Not spam
- Mark read or Mark unread
- Flag
- Move, with a search box for folders
- Tag
- Snooze
After most actions a message appears with Undo.
Flag what matters
Choose the star beside a message to flag it. Flagged under Views lists them. Unread and Attachments work the same way.
Empty Spam or Trash
Open Spam or Trash and choose Empty Spam or Empty Trash. This deletes messages permanently, so you are asked to confirm.
Conversations
Messages are grouped into conversations in most folders. The speech bubble button above the message list switches this on or off for that folder.
Sort automatically
From an open message, More actions > Create filter from this starts a filter for that sender. All filters are in Settings > Filters, where a filter can move, tag, flag or mark messages as read, and also forward, reply with text or delete them. Folders and tags can also be managed in Settings > Folders and tags.
Keyboard shortcuts
With shortcuts on (the default; see Settings > General), in the message list: j and k (or the arrow keys) to move, Enter or o to open, c to write, x to select, e to archive, # or Delete to delete, s to flag, u to mark unread, ! to report spam. / jumps to the search box. With Gmail style, mark unread is Shift + u.
